NORMS AND GUIDELINES FOR
THE USE OF COMMUNITY CENTRES (CC-1, CC-2 ) & MARRIAGE LAWN
INFORMATION

The two Community Centres (CC-1 and CC-2) are primarily meant to provide the Institute employees a venue for (a) recreational facilities like games etc., (b) private ceremonies like marriage etc. and (c) social/religious group activities. Marriage Lawn is meant to hold receptions.

Room Nos. 2 and 3 in each of the two Community Centres are earmarked for recreational facilities, which will be opened to the Institute employees and their wards during the evening time from 5.30 pm to 8.00 pm except on Sundays and the days when the community centres are reserved for other purposes.

Room Nos. 4, 5 and 6 along with the courtyard and the associated amenities in each of the two Community Centres are available for private ceremonies and social /religious functions for a period not exceeding 3 days. Rooms without Community Centre Lawn are allotted only for the religious & Social activities.

Preference for the use of Community Centre(s) is given only to those employees and students who have been allotted residential accommodations on the Institute campus. Residents of Type 1, 1B, 1A and those who are living out of Campus shall be advised to opt for Community Centre-1 considering their and other resident's convenience, while the rest of the residents of campus shall be advised to opt for Community Centre-2 and/or the Marriage Lawn.

The Community Centres and Marriage Lawn facilities will be extended to the Institute employees for the marriage and the related functions of their dependent(s) as per the Institute records.

Retired employees residing out of the Institute campus will be allotted the Community Centres and Marriage Lawn facilities for the marriage of their dependent(s) (as per the Institute records) only one month before the actual function.

Allotment for social/religious functions are permissible only to the Institute recognized social/ religious groups of employees/students residing in the Campus. Applications for such allotments have to be submitted on the letterhead of the concerned group.

At a time only one Community Centre shall be allotted to a user, If the user wants to extend the period of booking, extension will made depending upon the availability.

Applications should be submitted at the office of the Community Centres. The office hours are as follows:
Community Centre -1 6- 7 pm on Tuesday, Thursday, and Saturdays.
Community Centre -2: 6-7 pm on Monday, Wednesday, and Friday.

- Electricity charges will be paid by the users as per the actual consumption
- In addition to above a Noise Security Deposit of Rs. 5000/- (refundable) will have to be deposited by cheque drawn in favour of Registrar, IIT Kanpur
PROCEDURE FOR ALLOTMENT OF COMMUNITY CENTRES & MARRIAGE LAWN

For private functions, a user has to submit an application in the prescribed format duly forwarded by the Head of the respective departments, and the dependency verified by the DOFA/DORD/DOSA/Administration.

For social/religious/official purposes, the application has to be submitted/ forwarded by the Secretary/Convener/Chairman/Head of the concerned Society/Group/Department.

Booking will not be confirmed unless and until all the prescribed charges are deposited.

Issuing of allotment orders against payment of the prescribed charges will be done by the Care-taker(s) of the Community Centres and Marriage Lawns. Allotment orders must be collected from the concerned Community Centre during the office hours within one week from the date of the application, failing which the allotment will be automatically cancelled.
- In case an allottee wishes to get the allotment cancelled, he/she can do so by submitting an application on plain paper to the Chairman, Community Centre and Marriage Lawn Management Committee between 10.00 am to 12.00 noon on any working day. The Charges for cancellation of allotment before the date of event will be as follows:

Notwithstanding the forgoing rules, the Management Committee reserves the right to modify/cancel allotments at its discretion from time to time. |
