IIT Kanpur Security

The Security Section of the Institute is entrusted to provide security and safety to all campus residents including students, faculty and staff members as also to the assets of the Institute. The entire work of the Security Section is supervised and controlled by a designated committee, namely, Security Advisory & Executive Committee (SAEC). The Security Section is to look after the following aspects of the security :-

  1. To provide security surveillance at the strategic locations of the campus in such a way so that the entire
    campus always remains under the watchful eyes of the Security Section.

  2. To manage and regulate traffic, both vehicular and pedestrian, on the campus.

  3. To ensure maintenance of law and order on the campus and ensure that the peace and tranquillity of the
    campus remains inviolable at all times.

  4. To provide aid and assistance to the campus residents in their hours of need or in emergency situations.

  5. To ensure that the campus is free from tress-passers and squatters and to deal with defaulters, if any, in
    appropriate manners.

  6. To investigate the case of unusual occurrences on the campus and to report such occurrences to the higher
    authorities.

  7. To manage and monitor excess control system and ensure that the persons of doubtful antecedents are not
    permitted access to the campus.

  8. To see and ensure that the outsourced watch and ward staff are appropriately deployed and dealt with as per
    the terms and conditions of the contract.

  9. To issue vehicular passes to the visitors of the campus and to carry out security verification in respect of
    persons applying for Visitor's Passes through Estate Office.

  10. To deal with entry / exit of various Halls of Residence as also the Departments/Sections/Offices the excess
    control of which have been entrusted to Security Section.

 

 
   
    • Do not leave any valuables like laptops, mobile phones, watches etc. unattended, especially at the fields during physical activity.

    • Do not leave your room unlocked/unattended even for short periods of time. Try to lock your room while sleeping and if not ensure that your valuables are stored in a safe space.

    • Carry the Institute Identity Card with you on campus at all times and cooperate with the security personnel when asked to produce it. This would help the Security Personnelensure that you belong to the campus and identify those who don't.

    • Do not disclose the password of your e‐mail ID, Debit Card, Credit Card etc. or other bank account details to anyone. Avoid drawing money from the ATM in the presence of others.

    • Use a "Chain with Pad Lock" for your cycles as body locks and wire locks are quite easily opened by cycle thieves.

    • Ensure that your cycle is properly locked while parking it. Unlocked cycles will be taken into custody of the security guards and will only be released after proper verification of ownership after two days.

    • Write your name on the frame of your bicycle in bold letters to avoid exchange of cycles as well as to help identify them in the above case.

    • Driving Motorized vehicles is strictly prohibited for students in the campus, even for those with a valid driving license. You would require permission from the DOSA to do so.

    • Those in possession of motorized vehicles (Faculty, Staff, Research Scholars) should not allow any student to use it on campus. It will be seized by the Security Personnel and released only after permission from the DOSA.

    • You will need to take permission from the Hall Warden to allow a guest to stay with you at night. Security will not permit unauthorized guests to stay overnight in the halls.

    • Parking of four/two wheelers by students in the campus is not permitted. You will need prior permission from the Hall warden/DOSA.

    • Avoid going out of the main gate at night as there have been many fatal accidents on the highway.

    • Please report any security related problems or suspicious activity to the control room on 7999 or 7994.In case of any issues, you can talk to the ASO personally or call him up on no.7254.

Visitors to Hall of Residence—


1. Entry to Halls for guests/visitors, including parents, shall be permitted only if accompanied by the concerned
inmate(student/ research staff).

2. All guests/ visitors, including parents, should fill particulars in the register kept at the entrance of the hall.

3. Night stay may be permitted for guests/ visitors only if prior approval of the warden is obtained.

4. All guests/ visitors, including parents, should vacate the rooms of students by 0001 hrs if approval to stay
overnight is not granted.

5. Entry of vendors may be allowed only up to 1800 hrs.

6. All guests/ visitors will have to declare that they are not in possession of any firearm/
inflammable material at the entrance of the hall.

7. The vehicles and cycles of hall staff/ workers to be parked outside near entrance of the hall.

8. IITK male students entering the girl's hostel should show their institute ID Card to the Security Personnel at
the entrance of the hall and mark their entry in the register. In special circumstances they may be asked to
deposit their ID card with the Security Personnel.


Accommodation in Visitors/ Guest Room (GIRL'S HOSTEL)


1. Entry to Halls for guests/visitors, including parents, shall be permitted only if accompanied by the concerned
inmate (student/ research staff).

2. All guests/ visitors, including parents, should fill particulars in the register kept at the entrance of the hall.

3. Guest room can be booked for father only if accompanied by the mother of the student.

4. Brother(s) or any other male relative of the student are not allowed to stay in the guest room.


Motorized Vehicles


1. Students are not allowed to ply vehicles inside the campus.

2. Married students may be allowed to ply motorized vehicles if permitted by the DOSA. Others providing
permission from the DOSA may also be allowed to do so. All such students should be asked to submit a
copy of vehicle registration certificate, driving license and insurance cover note and obtain vehicle pass.

3. Vehicles brought by students (special cases) shall also require permission of the DOSA.


Pets


1. The student shall not bring and/ or keep any pet (such as fish, cats, dogs, rabbits, etc.)

2. Student should desist from feeding stray dogs, petting them etc.


FIRE ARMS/ ANY SHARP WEAPONS


1. Storage or possession of firearms, ammunitions, explosives and inflammable goods by the students on the
premises of the hostel is strictly prohibited.


Others

IMPORTANT


1. Management of campus security is performed by the Assistant Security Officer (ASO) on duty. Guards are
can directed only by the ASO on duty and no one should make direct request/demand to them. If needed,
one call Control Room at 7999.

2. Complaints submitted by students to Security Unit should be duly forwarded by Warden In-charge/Warden
and DOSA/ADHA for Hall related matters and DOSA/ADSA for activities related issues.

3. Passes are issued by CEMMC. Security Unit will not entertain passes issued otherwise.

a. For Permanent Employees

Procedure

All vehicles entering the campus shall be required to obtain Entry Slip (for one time entry)/ permanent pass.

For obtaining permanent pass (RFID tag), duly filled-in application form (available on intranet) recommended
by Head of the Department/Section/ Unit should be submitted to the Security Unit.

Photo pass and vehicle sticker are properties of the institute and are liable to be withdrawn/ cancelled.

2.

Above application should be supported by (i) copy of Vehicle Registration Certificate, (ii) copy of insurance cover note (iii) copy of Driving License of the owner and (iv) copy of Institute ID. The original copies of the above mentioned documents should be produced in the Security Unit at the time of submission.

   

3.

In case of other drivers (family members/ relatives residing with the employee), copy of driving license of other drivers should also be submitted.

   

4.

Photo pass and vehicle sticker/ RFID tag shall be issued for the employee whereas dependents will get only photo pass.

   

5.

In case a permanent employee residing on the campus has more than one motorized vehicle on his/her name or on the name of family members residing with him/her (as declared in the form submitted to the institute) separate vehicle sticker/ RFID tag will be given for respective vehicles. Separate documents will have to be submitted for each vehicle.

   

b. For Ph.D. Students staying with family on the campus / Project Employees/ Contractual Employees/ those on Work Assignment

1.

For obtaining permanent pass, duly filled-in application form (available on intranet) recommended by Head of the Department/Section/ Unit should be submitted to
the Security Unit.

Pass and vehicle sticker are properties of the institute and are liable to be withdrawn/ cancelled.

Above application should be supported by (i) copy of Vehicle Registration Certificate, (ii) copy of insurance cover note (iii) copy of Driving License of the owner (iv) copy of Institute ID and (v) copy of project appointment letter (in case of project employees). The original copies of the above mentioned documents should be produced in the Security Unit at the time of submission.

2.

In special cases, students residing in Halls of Residence may be issued vehicle sticker and pass for specific period on the recommendation of DOSA.

3.

In case of other drivers (family members/ relatives residing with the employee), copy of driving license of other drivers should also be submitted.

3.

Those on work assignment mode will be issued only pass.

c. Contractors/ Sub-contractors

1.

Application request duly recommended by HOD/ IWD.

Contractor/sub contractor will be issued only
vehicle pass.

2.

Above application should be supported by (i) copy of Vehicle Registration Certificate, (ii) copy of insurance cover note (iii) copy of Driving License of the owner and (iv) copy of contract award letter. The original copies of the above mentioned documents should be produced in the Security Unit at the time of submission.

2.

Vehicle sticker/ RFID tag will NOT be issued to them.

d. Nankari Residents

1.

Application should be submitted in proper format
(available with Security Unit).

1.

Nankari residents shall be issued Token for Nankari vehicle only.

2.

Above application should be supported by (i) copy of Vehicle Registration Certificate, (ii) copy of insurance cover note (iii) copy of Driving License of the owner and (iv) copy of address proof. The original copies of the above mentioned documents should be produced in the Security Unit at the time of submission.

2.

Each vehicle shall be issued separate token.

3.

In case of other drivers (residing on the same address), copy of driving license of other drivers should also be submitted.

3.

Vehicle sticker/ RFID tag will NOT be issued to them.

e. For suppliers/ Vendors

1.

Application should be submitted in proper format
(available with Security Unit).

1.

All suppliers/ vendors shall be issued vehicle pass only.

2.

Above application should be supported by (i) copy of Vehicle Registration Certificate, (ii) copy of insurance cover note (iii) copy of Driving License of the owner (iv) copy of address proof and (v) copy of pass issued by the Estate office. The original copies of the above mentioned documents should be produced in the Security Unit at the time of submission.

2.

Vehicle sticker/ RFID tag will NOT be issued to them.

f. Former Faculty/ Staff not residing on the campus

1.

Application should be submitted in proper format
(available with Security Unit).

1.

Dependents of the former employee will not be given Vehicle sticker/ RFID tag or any Photo Pass.

2.

Above application should be supported by (i) copy of Vehicle Registration Certificate, (ii) copy of insurance cover note (iii) copy of Driving License of the owner and (iv) copy of Institute ID. The original copies of the above mentioned documents should be produced in the Security Unit at the time of submission.

   

3.

Retired employees shall be issued vehicle sticker/ RFID tag for vehicles registered on his/her and spouse's name only.

   

 

 

1. Entry to IITK campus through Main gate

Procedure

The right of entry to IITK campus is restricted. Hence, a visitor will be asked by the security personnel (SP) the reason for his/her visit to ensure a valid reason for doing so. This includes—

 

1.

To meet an employee of the institute for personal or official reason.

1.

Entry may be restricted for those without a valid reason.

2.

To supply the requisitioned item to any office, lab or department as an authorized supplier or first timer. In such cases a valid pass has to be obtained from the main gate. SP might call the concerned department/lab/office/person to confirm this. Those with Vendor Pass issued by CEMMC might be asked to show it by the SP.

2.

Entry may be restricted for suspicious person(s).

3.

Students of various schools situated in the campus or Nankari in school uniform or without school uniform. Their parents/ guardians with valid pass.

3.

All those caught by SP for their involvement in antisocial activities like theft, robbery, misconduct, etc. may
be restricted from entering the campus.

4.

People residing in Nankari and using campus road for their thoroughfare.

4.

All those who have been officially
debarred from entering the campus by
institute authorities.

5.

People coming for rail reservation can be permitted entry half an hour before opening of the reservation counter. They don't need entry pass as reservation counter is located on the main gate.

5.

Heavy vehicles may not be permitted to enter the campus through main gate.

6.

All the shop owners, vendors, workers, labours and all others working in various departments, labs with valid Identity Card or with a pass issued by the Estate Office or by the contractors working on the campus.

6.

All visitors are liable to be frisked by the SP.

7.

For visiting Banks or Post Office with a valid pass book or with valid reason with the pass obtained from the main gate.

   

8.

Visitors should obtain vehicle pass for their respective vehicles from the main gate.

   

9.

All other visitors not included in the list above may be allowed entry to the campus with valid reason(s). However, they are required to obtained pass from the main gate.

   

10.

Entry may be permitted to the casual labours in presence of their supervisors / contractors subject to production of written permission from IWD.
